Junior Executive PMO

THE ROLE

We are looking for a detail-oriented Junior PMO Assistant to support our FIS 3 Engineering Delivery team / Transformation Office. This role is ideal for an organized professional who excels at meeting coordination, data management, and administrative support within a project management environment. The role provides an opportunity to contribute directly to the success of engineering delivery projects by ensuring smooth coordination, accurate reporting, and consistent administrative processes.

Key Responsibilities:

  • Meeting Management: Prepare, organize, and coordinate meetings including agenda creation, scheduling, and follow-up documentation
  • Budget Tracking: Monitor project budgets using Excel, maintain financial records and prepare budget reports
  • KPI Tracking: Collect, analyze, and report on key performance indicators across engineering delivery projects
  • Excel Management: Create and maintain complex spreadsheets, dashboards, and data analysis files
  • FIS 3 Engineering Delivery Support: Provide direct assistance to engineering delivery teams with administrative and coordination tasks
  • Documentation: Maintain project documentation, status reports, and meeting minutes
  • Data Management: Ensure accuracy and consistency of project data across various tracking systems
  • Administrative Support: Handle day-to-day PMO administrative tasks and stakeholder communication

Required Qualifications

  • MS Office Skills: Advanced MS Office skills, especially in Microsoft Excel including formulas, pivot tables, charts, and data analysis
  • Meeting Organization: Strong experience in coordinating and preparing meetings effectively
  • Budget Management: Understanding of budget tracking principles and financial reporting
  • Communication Skills: Good English (verbal and written communication) skills
  • Organizational Skills: Ability to manage multiple tasks and priorities simultaneously

Ideal Candidate Profile

  • 1-3 years of experience in PMO, project coordination, or similar administrative roles
  • First experiences with project management principles and methodologies
  • Experience with engineering or technical project environments
  • Familiarity with KPI development and tracking
  • Proficiency in other Microsoft Office applications (PowerPoint, Word, Outlook)
