Role :

 

We are looking for a highly organized and analytical IT PMO Specialist to join the Program and Portfolio Management Office (PMO) at Hapag-Lloyd Technology Centre (HLTC), Chennai. This role is responsible for supporting global IT governance, portfolio oversight, and program management processes that ensure transparency, consistency, and alignment with organizational objectives. The incumbent will work in close collaboration with global stakeholders, particularly in Hamburg, to maintain high standards of reporting accuracy, data quality, and process compliance across tools such as Jira and Clarity. The position requires a structured and detail-oriented professional who can contribute to the continuous improvement of PMO practices and enable effective decision-making across the IT portfolio.

 

 Key Responsibilities & Tasks

  • Support and continuously improve processes and standards for program and portfolio management within IT.
  • Ensure data consistency and quality in key tools (such as Jira, Clarity and related systems).
  • Consolidate and analyze resource, and progress data for executive reporting.
  • Support program governance activities — preparing and maintaining steering committee materials, decision logs, and progress trackers.
  • Maintain the portfolio funnel and assist in evaluating, prioritizing, and tracking initiatives.
  • Prepare and visualize management dashboards and KPIs on program and portfolio status, resource utilization, and delivery progress.
  • Assist in financial and resource planning, including forecasting and variance analysis.
  • Coordinate with various stakeholders to ensure timely updates and governance compliance.
  • Contribute to the evolution of templates, guidelines, and governance frameworks to ensure consistency and efficiency across programs.
  • Support ad-hoc analyses and prepare concise summaries and recommendations for IT leadership.

 

Work Experience

  • Bachelor’s or Master’s degree in Information Technology, Business Administration, or a related field.
  • 4–7 years of experience in a PMO, program coordination, or portfolio management role within a large or international IT organization.
  • Solid understanding of program and portfolio management principles (e.g., project lifecycle, governance, reporting, KPIs).
  • Experience working with Jira, Confluence, MS Office (or similar tools).
  • Strong analytical and problem-solving skills with an eye for detail and data quality.
  • Excellent communication and stakeholder management skills.
  • Self-driven, reliable, and structured with a focus on quality and accountability.
  • Fluent in English, both written and spoken.

 

Nice if you have:

  • Familiarity with Agile or SAFe environments and Lean Portfolio Management.
  • Experience in IT financial tracking, demand management, or capacity planning.
  • Experience in setting up or maintaining executive dashboards or PMO reporting.
  • Skills in process documentation and visualization (e.g., BPMN, Kanban, or Visio).
  • Understanding of IT investment governance and business case management.
  • Previous exposure to shipping or logistics IT systems is an advantage.
