Reports to Director, Head of Procurement
Overview:
This role will support contract and supplier management activities, provide analytical insights, assist with project execution, and contribute to performance reporting. The Senior Coordinator supports the Regional Contract and Supplier Managers by managing contract records, monitoring supplier performance, and preparing reports.
This role ensures that contracts are well maintained, suppliers are evaluated fairly, and compliance is achieved, while providing day-to-day support to procurement projects and initiatives.
Responsibilities:
Contract Management
· Keep accurate records of all contracts, correspondence, and documentation.
· Work with Procurement Managers to track contract timelines, renewals, and extensions.
· File and store finalized contracts (digital and physical copies) with key details captured in iContract.
· Monitor contractual obligations (e.g., rebates, fuel adjustment factors) and report risks or opportunities.
· Maintain the contract tracker, repository, and annual tender/contract calendar.
· Prepare summaries and reports for monthly performance meetings.
Supplier Management
· Coordinate supplier performance evaluations and consolidate feedback.
· Support Procurement Managers during quarterly supplier review meetings.
· Help develop and manage the annual supplier performance calendar.
· Prepare presentations and summaries for management on supplier performance results.
· Support the rollout of e-procurement tools and digital solutions.
· Ensure all repositories and systems are updated with accurate contract data.
· Help identify risks and opportunities in contracts and supplier agreements.
· Prepare and circulate the monthly Procurement Reports.
Analytics & Reporting
· Use advanced analytics and data-driven insights to identify opportunities, optimize contract and supplier decisions, and track savings performance.
· Provide accurate forecasts, budgets, and cost reporting.
· Drive continuous improvement in procurement systems, processes, and reporting transparency.
Compliance & Governance
· Monitor compliance with contract terms by both the company and suppliers.
· Promote awareness of key contract obligations among internal stakeholders.
· Ensure all records, trackers, and systems are kept accurate and up to date.
General Support
· Provide daily support to the Manager – Contract & Supplier Management.
· Communicate effectively with colleagues, managers, and suppliers.
· Apply basic financial understanding to assess contract terms and obligations.
Qualifications:
· Bachelor’s degree in Business, Science, Supply Chain, or a related field (or equivalent experience).
· Strong analytical skills with an interest in data-driven decision making.
· Basic project management knowledge or experience.
· Organized, detail-oriented, and process-focused.
· Eagerness to learn and contribute to procurement and supplier management practices.
