The roughly 2.600 employees assigned to the Terminal & Infrastructure segment deal with terminal-related activities and provide complementary logistics services at selected locations.

Main Objective

Support daily office operations and employee development activities through strong administrative execution, training coordination, and basic HR support. This role is suited for individuals with solid administrative experience and interest in growing into broader HR responsibilities over time.

Function and duties

HR and Admin duties

  • Payroll & Tax Administration: Support preparation of salary/bonus payments, handle income/resident tax submissions, and manage social security formalities and government reporting.
  • Employee Lifecycle Support: Coordinate onboarding and offboarding procedures, maintain paid leave and overtime reports, and arrange health checkups and medical benefit delivery.
  • Office & Vendor Management: Oversee procurement and inventory of office supplies and equipment (e.g., stationery, toner), maintain office environment, manage mobile phone arrangements, and handle general correspondence and courier services. Assist with other administrative tasks as needed.
  • Finance & Documentation: Create vouchers, review invoices, and process various payments accurately.
  • Reporting & Compliance: Submit monthly travel accident reports to insurance company and ensure compliance with administrative requirements.
    Potential Development: Grow into broader HR responsibilities to support Senior Manager. 

Local/Regional Training Administrator

  • Employee Development: Partner with respective stakeholders to identify training needs and support development planning.
  • Training Coordination: Organize training sessions, handle logistics, and provide post-training support.
  • Stakeholder Engagement: Act as the main contact for trainees and trainers for local sessions, and keep management updated on training activities.
  • System Transition Support: Assist in change management for the rollout of new Learning Management Systems (LMS) and ensure local readiness.

Qualifications and Technical Job Requirements

  • Working knowledge of Japanese health insurance, pension, income/resident tax, and administrative practices.
  • Basic level proficiency in English (reading/writing) to liaise with counterparts around the region.
  • Business level proficiency in Japanese (reading/writing) to liaise with stakeholders in Japan. 
  • Competency in using PC applications and mobile device tools.
