Main Objective

  • We are seeking a highly organized and detail-oriented HR Administrative Support professional to assist our HR team in a regional office. The role is essential to ensuring the smooth operation of key HR functions, such as employee travel and flights arrangements, employee requests, employment pass applications, cross-country mobility support and other crucial administrative duties. This position will enable the HR team to focus on rolling out an Oracle HR project while maintaining efficiency in day-to-day HR operations

Responsibilities

Employment Pass Applications:

  • Prepare and submit work visa and employment pass applications for employees, ensuring compliance with regional regulations.
  • Maintain records and monitor the expiration of employment passes, facilitating timely renewals.

Mobility Support for Cross-Country Transfers:

  • Support employee transfers across different countries within the region, including documentation, relocation assistance, and onboarding support. 
  • Work closely with internal stakeholders to ensure smooth transition for employees relocating internationally. 

Employee Letters:

  • Handle employee requests for various HR-related letters such as employment verification, salary certification, confirmation or promotion letters. 
  • Ensure timely processing and delivery of requested documents to employees.

HR Administrative Duties:

  • Maintain employee records and update HR systems with new information, promotions, transfers, and other changes.
  • Provide administrative support to the HR team as needed, such as organizing meetings, preparing reports, and managing HR communications.
  • Assist with other HR projects and initiatives, particularly in support of the Oracle rollout.

 People support

  • Facilitate the booking of flights and travel for employees in the Regional office.
  • Handle day to day administrative and front desk reception duties when required

HR Analytics:

  • Data driven mindset, with a keen eye for patterns and trends, double click into HR data, where insight extends. Turning numbers to knowledge, solutions.

Requirements

  • Bachelor's degree or diploma in Human Resources, Business Administration, or a related field.
  • At least 3 years of experience in an HR administrative role or similar position, preferably in a regional office environment.
  • Familiarity with Singapore employment laws and work visa application processes.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and HR systems.

Preferred Qualifications:

  • Knowledge of Oracle HR systems and mobility support processes.
  • Prior experience in handling cross-country transfers/mobility is a plus.
